Stage 3 of 4 · From capacity to clients

Clients: be easy to find, easy to work with, hard to leave

The firm runs well — and almost nobody outside your referral circle knows it. Clients still call to ask for status. Your website says less than your competitor's. Clients is the stage where the practice becomes visible, consistent and recommended.

Sounds familiar?

  • New clients come only from referrals, and the referrals come only from partners.
  • Searching your firm's name on Google shows a bare listing — or a competitor's ad.
  • Clients call the office for status because there is nowhere else to look.
  • Two clients with the same service get a different experience depending on who handles them.
  • You have excellent work and almost no reviews.

What good looks like

A prospect can find you, understand what you do and reach you in two minutes. Existing clients get status, documents and reminders without calling. Every client, big or small, experiences the same onboarding and the same year-end. And because the experience is consistent, it is recommendable — referrals become a system, not luck.

Five moves

1. Fix the first impression

A professional website with your services, team, locations and a way to book a call. It does not need to be large; it needs to be current, fast and honest. Claim and complete your Google Business Profile the same week.

2. Give clients self-service

A client portal and mobile app where status, documents and invoices live. Tell clients once, clearly, that this is where the firm works — and watch the "any update?" calls disappear.

3. Standardise the client journey

Write the onboarding routine, the monthly update, the year-end pack. One page each. Every staff member follows it; every client gets it.

4. Ask for the review

After every filed return or completed audit, ask the ten happiest clients for a Google review. Twenty honest reviews change how a prospect reads your firm.

5. Talk where your clients are

WhatsApp updates, a monthly note on what changed in GST or income tax, a short video now and then. Visibility is a habit, not a campaign.

How ERPCA helps

The client portal and mobile app give clients self-service in your brand, with WhatsApp integration for updates; Smart Budget websites put a professional, ready-to-launch site live in days; and the visibility management add-on keeps your Google presence and reviews working for you.
