    • Check amount is within limits

    • Verify attachments are valid

    • Ensure expense is legitimate

  • Click "Approve" or "Reject"

  • If rejecting, provide reason in remarks

  • Approved claims are queued for payment in next payroll

Approval Guidelines

  • Verify all claims have proper supporting documents

  • Check if expense aligns with company policy

  • Ensure amount matches the bill/receipt

  • Reject duplicate claims

Processing in Payroll

✅ Approved reimbursements are automatically included in monthly payroll generation:

How It Works:

  1. Approval: Admin/HR approves reimbursement request

  2. Payroll Generation: When you generate payroll for a month, system automatically:

    • Fetches all approved reimbursements for that month (based on request date)

    • Adds each reimbursement as a separate earning component

    • Includes reimbursement amount in gross salary calculation

    • Links reimbursement to the payroll record

  3. Salary Slip: Reimbursements appear as separate line items (e.g., "Reimbursement - Travel", "Reimbursement - Medical")

  4. Payment: When payroll is marked as "Paid", linked reimbursements automatically change to "Paid" status

Automatic Integration

No manual intervention needed! Once a reimbursement is approved, it will automatically be included in the next payroll generation for that month. The system handles all linkages and status updates automatically.

Important Notes:

  • Reimbursements are matched to payroll based on the request date month/year

  • Only reimbursements in "Approved" status are included in payroll

  • If payroll is regenerated, reimbursements will be re-included automatically

  • Payment date and mode from payroll are automatically copied to reimbursement record

Tax Implications

Some reimbursements are tax-exempt under Income Tax rules (e.g., Medical up to ₹15,000, LTA). Configure tax exemption settings in category master to ensure correct TDS calculation.

Reimbursement Reports

Available reports:

  • Rejected Claims: Claims that were rejected with reasons

  • Category-wise Summary: Total reimbursements by category
